We’ve been Zooming for over a year and a half now, but there are still some settings you’ve never heard of and that might change your life. At this point in the pandemic, most people are Zoom pros. Even though every meeting still prompts a « you’re on mute » comment, we rarely find ourselves accidentally turning into cats these days. Zoom is an essential tool in the hybrid workspace, connecting remote workers with those in-office. We know how to share our screens, how to use the thumbs-up reaction and how to blur our backgrounds.

Virtual backgrounds of beaches are very early Stop using them. And yet, there’s still always more to learn. A deeper dive into Zoom’s preferences unleashes a treasure trove of settings you may never have known existed. Here are eight Zoom settings that will make your life easier, and your meetings more fun.

When you want to leave a meeting on Zoom, usually you have to do it in two clicks. That’s because in the General tab of Zoom’s settings, the « ask me to confirm when I leave a meeting » checkbox is automatically selected. If you uncheck it, you can leave Zoom meetings in just one click, avoiding the confusion or mild annoyance of having to click « leave » twice.

If you’re looking for an endorsement on this particular feature, Protocol Workplace editor Megan Morrone said this setting « has given me a new lease on this wild and precious life. The « touch up my appearance » feature is under the Video tab in Settings. You can use it on a bad acne day to blur your skin and brighten your face.

Once you click the checkbox, you can use the toggle to make the enhancement as subtle or dramatic as you want. Be careful with this one. People might take you a little less seriously if you look like a soft focus portrait from the ’70s.

Don’t say we didn’t warn you. In the Audio tab in Zoom settings, you can control how much you want to suppress background noise. Zoom uses « Auto » as a default, but you can also choose between low, medium and high to minimize distraction from background noises.

This is one of Zoom’s many keyboard shortcuts, but could be considered one of the easiest and most useful. By clicking command « i » within a meeting, you can quickly invite contacts within your organization, or send an email to those outside of it. The pop-up invite window also allows you to copy an invite link or invitation, and see the meeting’s passcode. You’re not beholden to the keyboard shortcuts Zoom’s created. You can browse the available commands and shortcuts in the Keyboard Shortcuts section of Settings.

If none of them seem convenient to you, you can create your own shortcuts just by clicking them. And if your homemade shortcuts don’t work, you can restore defaults easily. Once you’re there, you can allow « non-verbal feedback. The available icons are yes, no, slow down, speed up and coffee cup. Zoom says the coffee cup icon means « I’m away, » although we prefer to think that it means « spill the tea » or « you’re boring me so much that I need more coffee.

If you have to run to the bathroom or grab coffee from downstairs during a meeting, you can leave the coffee cup icon up. You can also « raise your hand » while on Zoom, and choose reactions from the entire emoji library — unless the Zoom host only allows for selected emoji in meetings. Zoom launched Focus Mode on Aug. But it can be useful for mass meetings where adults can get just as distracted as children.

Focus Mode enables hosts to hide the video of participants from other participants, so that only the video feeds of hosts and co-hosts, plus the content they share, is visible to participants. You can turn on Focus Mode for any meetings you host in the full settings page on Zoom.

In Zoom’s full list of settings, you can enable remote control. This means that when someone shares their screen, they can allow participants to control their screen from afar. This can easily be used for casual tech help, or contributing to a collaborative doc or project. The screen-sharer can take back control whenever they want, if anyone starts to get a little frisky. Maybe you’re tired of staring at a screen of Zoom boxes all day.

If you want to place the videos of all your participants in a virtual setting, you can turn on the immersive view in the full list of settings.

It allows the host to place participants in different virtual scenes, like a lecture hall or kitchen table. Zoom can place participants automatically, or you can place them manually. You can even place people on different parts of your own screen — on your head or in your water glass, for example. Or a less distracting option: In the IRL conference room where you’re holding a meeting, if you still do that sort of thing.

Once open, you can join a test call on the Zoom application and follow the instructions on the screen. If the screen is blank, you can then click the arrow icon next to the video camera icon and choose Same as System or you may see Integrated Camera or a more specifically named webcam from the list. Sometimes, the problem might not be Zoom at all. You can correct this by checking your app permissions to make sure the Zoom app or your web browser can use your webcam.

On the web specifically, you can also check this setting by restarting your call and making sure you press Allow when prompted about the camera and mic access. From there, scroll down to let desktop apps access your camera , and make sure that the toggle switch is On. Open System Preferences and select Security and Privacy.

After that, click the lock icon and enter your password to make changes. You can then click Camera from the sidebar and make sure your desired web browser and Zoom are checked. Note: Some laptops also have a physical webcam switch that must be enabled to allow the webcam to function properly. Double-check that yours is in the right position if you have one. If all else fails, uninstall the software. The next time you try to join or start a virtual meeting, the web browser client should download the software for you.

You also can manually install the software from Zoom. Another common problem with Zoom is an audio echo during a meeting. If you hear an audio echo or feedback, there are three possible reasons why. Someone could have both computer and telephone audio active at the same time. In this case, ask them to either hang up on the telephone call or exit the PC-based audio during the conference by clicking the up arrow icon next to the microphone icon and choosing Leave Computer Audio.

Computer or telephone speakers might be too close to each other. Ask the two people that are too close to each other to move apart or shut a door.

You could also ask one of them to leave the audio conference or mute audio on their device; though muting by itself may not always be as effective in reducing the echo. Using headphones helps reduce the echoing effect, too. Multiple computers with active audio could be in the same conference room.

When I look in one of my meetings I don’t even see an option for that feature we don’t rely on personal meeting ids anyway, we always generate a new one. That can’t be the cause.

I’m inclined to agree with LisaP. We don’t use it either and we have the problem. Trainer1: you wrote that you don’t have the problem anymore, but that could just because everyone’s using their regular, previously authenticated PCs. I think you’d need to test this by logging into Zoom on a machine you know to be « fresh » ie, not previously used to log into Zoom. We run an organization that leads virtual peer support groups that are led by our volunteers.

We have over 50 volunteers running groups, so the fact that Zoom’s solution is for us to purchase 50 pro Zoom accounts for each of these individual users, many of which may go months without utilizing the accounts at all is absurd and out of touch. Zoom, y’all need to figure out how to resolve issues like this, or a lot of organizations will likely take their business elsewhere.

We’re providing supportive mental health services through Zoom, so when an issue like this may mean that a group of people doesn’t get the dire support they’re in need of, we take that pretty seriously. Please provide a solution to this problem. FYI, it’s a complete mystery to me why Zoom decides to trigger this warning for some people but not others.

I just tried logging into Zoom using a brand new iPad which had never before logged into Zoom and I did not get the warning!

On the other had, one of my colleagues logged in using her regular device, one that she uses for Zoom at least monthly, and she did get the warning. Makes no sense. Alex: That’s what I’d think but when I tried logging in from a fresh iPad which had never before been used to log into Zoom it did not trigger the verification. I don’t understand it. You should now be able to login without being prompted for the One Time Pin. However, I would recommend enabling the 2FA for the account for additional security as well as our Engineering team may enable the feature again in the future as a security requirement. I’m a bit confused about the  »one time code ». Are we still talking about the verification code? If so it’s not one time at all?! Also, when they say it was disable for all accounts, I guess that is in your organization, and not for ALL Zoom users?

What’s a « work type login? Very confusingn. Thanks for the reply. This is for all Accounts on Zoom. We’re seeing the same issue and it seems to have started at midnight today We have many accounts and some are shared by our 24×7 operations team for our hotline. The hotline was unable to log in or access the code as it is tied to a private admin mailbox. As with most companies these days, our staff sharing the hotline are geographically disperse and staff changes often.
